Job Description

The Transaction Coordinator will support EC Real Estate’s transaction lifecycle from contract
preparation through closing coordination. The role requires a real estate background, strong document drafting ability,
organized follow-through, and the technical capability to set up and manage CRM workflows that keep leads, clients,
agreements, and transaction milestones accurate and accessible.

CORE RESPONSIBILITIES

• Contract support: Assist in writing real estate contracts,
checking key details, preparing initial drafts, and keeping
documentation aligned with transaction requirements.
• Bio representations: Prepare bio representations and
client/property presentation materials that are polished,
accurate, and ready for review.
• Agreement drafting: Draft agreements and supporting
documents using approved templates, ensuring clean
formatting, consistent language, and timely completion.
• Transaction tracking: Maintain transaction checklists,
deadline calendars, required signatures, document versions,
and follow-up items from opening to closing.
• Communication support: Coordinate with clients, agents,
lenders, escrow/title contacts, inspectors, and internal
stakeholders to keep each transaction moving.
• File organization: Maintain organized digital records, naming
conventions, compliance documents, and closing packets
for quick retrieval.

CRM & TECHNOLOGY REQUIREMENTS

• CRM setup: Build, configure, and manage CRM systems,
including pipelines, contact fields, lead stages, tasks,
reminders, and activity tracking.
• Platform familiarity: Work confidently with XP, Skylab, and
comparable real estate technology platforms; learn new tools
quickly as systems evolve.
• Data quality: Keep client, property, contract, and
communication data current, complete, and easy for the team
to use.

SUCCESS PROFILE

• Required: Prior real estate experience and working knowledge
of transaction documents, timelines, and client service
expectations.
• Strengths: Excellent writing, detail orientation, confidentiality,
organization, proactive follow-up, and calm communication
under deadline pressure.
• Growth mindset: Open to training, feedback, and continuous
learning to match EC Real Estate’s processes and quality
standards.

KEY PERFORMANCE EXPECTATIONS

Success in this role means contracts and agreements are prepared on time, CRM records are accurate, transaction deadlines are
visible, clients receive responsive support, and EC Real Estate’s transaction workflow becomes more organized, trackable, and
scalable.
